Thank you for wanting to be part of this experience. These terms are the same for all our trips. What changes from trip to trip (dates, price, what is included, deposit and minimum group size) is listed in the trip details at the end of this page.

We act as the organiser of a package travel arrangement under Dutch and European law. Before you book, you receive the standard information about package travel and these terms.
To secure your spot, a booking deposit is required. The amount for each trip is listed in its trip details.
You can pay the deposit by card on our secure payment page (Stripe) or by bank transfer.
Option A · Installments: deposit when you book, and the rest no later than 15 days before departure.
Option B · Single payment: the full amount in one go, before the trip.
The full trip price must be paid no later than 15 days before departure, unless a different schedule has been agreed with us in writing. If the schedule is not met and you have not contacted us, we will remind you once; if payment is still not made, we may treat it as a cancellation by you (section 4).
Early booking discounts, when offered, are applied to the remaining balance, not to the deposit.
If you need to cancel, please let us know as soon as possible in writing (email or WhatsApp). Our cancellation charges are:

These charges do not apply where you have a legal right to cancel free of charge, for example because serious and unavoidable circumstances at the destination significantly affect the trip.
We strongly recommend cancellation insurance for personal circumstances such as illness.
We may need to cancel the trip if, for example, the minimum group size is not reached (see the trip details), circumstances make the trip impossible or unsafe, or other circumstances outside our control prevent it.
If we cancel, we will tell you as soon as possible and refund 100% of what you paid, including the deposit. If we cancel because the minimum group size is not reached, we will tell you at least 20 days before departure.
The itinerary may be adjusted because of external circumstances (weather, availability, local events) and we will always look for a similar alternative. If we have to change an essential part of the trip, we will tell you and you can choose between accepting the change or cancelling with a refund of what you paid.
We are not responsible for costs you arranged yourself, such as flights. That is why travel and cancellation insurance is so important.
You may transfer your booking to another person up to 7 days before departure, as long as they meet the requirements of the trip. Any reasonable costs we incur because of the transfer may be charged.
Travel insurance is mandatory and must cover medical assistance and repatriation, accidents and lost luggage.
As the organiser, we are responsible for the proper performance of the travel services included in your trip. We are not responsible for problems caused by you, by third parties not involved in the trip services, or by unavoidable and extraordinary circumstances. Dancing and activities are enjoyed within your own abilities. Nothing in these terms limits your rights under package travel law.
This trip is a space to enjoy, share, and create a safe and beautiful environment for everyone. We expect respect toward the group and the organisation, an open and collaborative attitude, and care for the spaces, activities and people.
The following will not be tolerated: disrespect or repeated conflicts; aggressive, discriminatory, homophobic or racist attitudes; constant failure to follow the trip's rules or group dynamics.
We may make decisions to protect the group experience, including removal from the trip if necessary. In that case no refund will be issued and any resulting expenses will be borne by the participant.
This trip is built by everyone in the group. The energy you bring matters :)
During the trip we take photos and videos to share the experience on social media and in our content, always respectfully and in line with the values of the trip. If you prefer not to appear, tell us in advance and we will respect it.
Flights and transport to the destination are not included. Each participant arranges their own arrival; we tell you which airport to fly into and when to arrive.
Mandatory: a valid passport, and checking (and if needed obtaining) the right visa for your nationality.
Recommended: a passport valid for at least 6 months from the travel date, and an onward or return ticket, as airlines or immigration may ask for it.
We are not responsible for problems caused by incorrect or incomplete documents.
If something is not going as expected, tell us as soon as possible so we can fix it during the trip, directly to the coordinator or at wemetdancing.trips@gmail.com. If it cannot be resolved during the trip, send us your complaint in writing after you return.
During the trip you will have a 24/7 emergency contact.
Payments for this package travel are protected against our insolvency through VZR Garant (policy number 134829), in accordance with its guarantee conditions. More on our VZR Garant guarantee page.
We only use your personal data to organise your trip and stay in touch with you, as described in our privacy policy. These terms are governed by Dutch law and European package travel rules.
By paying the deposit you confirm that you have read and understood these terms and your trip details, that the information you give us is accurate, that you agree to the conduct expectations, and that you understand what is and is not included in your trip.
